Understanding Project Inbox statuses & flags (and what each one means)

Every project in RiffleCM has a status that shows where it stands in your workflow, from the first time an ITB/bid invite appears ("new") all the way through awarded "won").

đŸŸ© New (flag)

A new ITB (Invitation to Bid) has been found and added to your team's shared Inbox.

What it means:

Nobody on your team has reviewed it or taken action on it yet.

What to do:

Review the project details in the list, on the project details page, or review the ITB on its source platform. Then be sure to mark as Declined or Accepted; or, notify a colleague if you think they are better suited to pursue this project.


âŹœïž Undecided (status)

You or someone on your team has seen this ITB but no action has been taken, yet.

What it means:

It’s not brand-new but it hasn’t been accepted or declined, either.

Why it matters & what to do:

These are your “waiting to decide” items. Keeping this list short ensures your team stays focused on high-potential projects. Once you have reviewed all details, be sure to mark as Declined or Accepted.


🟧 Expiring Soon (flag)

This ITB’s bid due date is approaching.

What it means:

Riffle automatically flags projects that are nearing their expiration window so you can review them before time runs out.

Timing:

“Expiring Soon” appears when the due date is within 3 days.

What to do:

Review these first to avoid missing submission deadlines. Once you have reviewed all details, be sure to mark as Declined or Accepted.


đŸŸ„ Expired (flag)

The bid due date has passed.

What it means:

Riffle automatically marks these ITBs as expired to help you prioritize open projects and keep your Inbox organized & focused on active work opportunities.

What to do:

No further action needed, but you can open the project to review details for historical reference or future bidding insight, or even reach directly out to the GC to see if they have enough coverage or are still accepting bids.

You can also move expired projects to your archive, but Riffle will automatically archive them after 30 days.
