How the shared Project Inbox works (and why it’s critical for collaboration).

RiffleCM’s Project Inbox is your team’s shared workspace for every new ITB (Invitation to Bid) that Riffle finds across your connected email accounts.

It brings all new project invites into one clear list, so no opportunity slips through the cracks, and helps your team avoid multiple teammates bidding the same job.

What the Project Inbox does

Riffle continuously looks for incoming ITBs in each connected team member’s email account. When a new invite is found, it automatically creates a project record and lists it in the shared Project Inbox for everyone on your team to see.

This means your whole team shares one consistent view of all new project invites — no more forwarding emails or wondering who received what.

How it works

Each new ITB detected by Riffle is automatically turned into a project and added to the inbox. From there, team members can review details and decide what to do next.

  1. Riffle finds new ITBs from connected email accounts.

  2. A project record is automatically created and appears in the shared Project Inbox.

  3. Any team member can open the project details or take an action: Accept, Decline, or Remove.

Actions you can take

👍 Accept & Assign: Marks the ITB as accepted and moves it into your Opportunities page. This signals to your team that the project will be pursued, and assigns clear ownership for accountability & visibilty.

👎 Decline: Removes the ITB from the shared Inbox for everyone.

❌ Remove: Clears the project from the Project Inbox without changing its project status. Useful for removing duplicates or irrelevant items.

What really happens when I accept an ITB in Riffle?

When someone accepts an ITB, Riffle instantly promotes it to an opportunity in your project workflow and automatically moves into Opportunities area. It's now ready for estimating and project coordination!

⚠️ Because an individual "project record" is automatically created the moment an ITB is detected, your team doesn’t lose any history or information during this transition.

What really happens when I decline an ITB in Riffle?

Declining an ITB marks the project as "declined" and simply moves it from your Project Inbox to your Archive—keeping your Project Inbox shiny & clean. ✨

⚠️ Riffle never permanently deletes projects; only you can do this.

FAQs

Who can see the Project Inbox?

Everyone on your Riffle team can see it. It’s a shared view that brings together all incoming ITBs from every connected inbox.

What happens when I decline an ITB?

It disappears from the Inbox for everyone but remains in the system with a status of Declined, so your team always has a record of the decision.

Can I undo and action?

If you’ve accepted or declined an ITB by mistake, you can reopen the project record from the active or archived list and update its status there.

What if I don’t see new ITBs in the Inbox?

Make sure your team members' email integration is connected & active. New ITBs only appear if Riffle can scan the linked inboxes for bid invitations.

If Riffle does miss an ITB—or thinks it's something else and ignored it—you can easily add it to Riffle by forwarding it to [email protected]
