1️⃣ The inbox that received the ITB isn’t connected to Riffle
Riffle can only scan connected, real inboxes. If an ITB went to:
A personal or shared inbox that isn’t connected
An older email address still used by some GCs, but not used by your company
…then Riffle simply has no way to detect it.
How to fix it:
Be sure to invite everyone on your team so their inboxes are connected and their ITBs can be identified.
Connect all shared inboxes your company uses for ITBs (like estimating@ or sales@).
2️⃣ The ITB was sent to a forwarding email address (not supported)
Riffle does not support forwarding-only emails (like [email protected] that forwards to five people). Forwarded messages lose critical technical information that Riffle needs to detect ITBs.
How to fix it:
You have 2 options:
Add your own email address to the forwarding list, or
Invite a teammate who is already on it.
3️⃣ The ITB didn’t match your organization’s preferences (CSI divisions/"trade", project type, partner type, etc.)
If a project does not match your company’s CSI division preferences, Riffle sets its priority to None, and pushes it to the bottom of your list. In some cases, it may not appear under the filters you're using.
How to fix it:
Clear filters or adjust your company’s project preferences.
4️⃣ The ITB arrived before you joined Riffle
During onboarding, Riffle scans a limited amount of your emails to create your initial list of ITBs & get you into the app, quickly.
How to fix it:
Forward the older ITBs to [email protected]
5️⃣ The ITB wasn’t sent as a standard invitation email
Some GCs send ITBs in formats that don’t follow standard email patterns (missing subject lines, no attachments, no bid link, etc.). Some GCs may even send you a personal, "hey check out this other project we have" email. Riffle may not recognize these as ITBs, although we do our best to account for those non-standardized formats.
How to fix it:
Forward non-standard ITBs to [email protected]
6️⃣ Filters are hiding items in your Project Inbox
Riffle allows you to save personalized view of your inbox, so you only see what you really value. Something, though, it’s easy to miss something if you've forgotten you have filters are applied!
How to fix it:
Clear all filters ("office location", "created by", "status", etc.).
7️⃣ The ITB was flagged by your internal spam filter, or an email filtering rule moved it from your inbox
If your company security settings or your own inbox filtered/redirected the email before Riffle could scan it, Riffle won’t detect it.
How to fix it:
Check spam, junk, and inbox filtering rules. Then, forward the missing ITB(s) to [email protected]
⭐ Summary
If ITBs are missing, the most common reason is a disconnected inbox. But some other common reasons are:
A shared inbox (sales@, estimating@) wasn't added to your workspace
The inbox owner hasn't joined your Riffle workspace, yet
The ITB was sent to a forwarding address
Filters are applied on your Project Inbox page
The email wasn’t formatted like a typical ITB
Preferences are lowering the priority score for the ITB, pushing it to the bottom of your list
