How to connect additional inboxes to your Riffle workspace

(and make sure your company’s ITBs show up)

Ask your Admin to connect as many inboxes as your company needs to ensure Riffle has full coverage for your ITBs.


Why Connect Additional Inboxes?

Connecting all inboxes your company uses helps Riffle catch every incoming bid invite, no matter which address the GC sends it to.

Many companies use a dedicated email as a "catchall" for ITBs, or have multiple ITB addresses (old inboxes, estimating@, sales@, etc.). If any of these inboxes are left unconnected from Riffle:

  • Some ITBs won’t show up in your Project Inbox

  • Your team may miss bid opportunities

  • Addendums or updates may get lost

Dedicated ITB Inboxes vs. Forwarding Addresses

(and why forwarding won’t work with Riffle)

✅ Dedicated Inbox (Supported)

What it is:

A “real” mailbox (like [email protected]) with its own login and password. It holds the original incoming email exactly as it was sent.

Why Riffle supports it:
We can read the actual ITB data (sender, timestamps, attachments, bidding platform info).

❌ Forwarding Address (Not Supported)

What it is:

A “fake” email that just forwards to other addresses (like [email protected] → forwards to 5 people). It does not store anything—it just passes messages along.

Why Riffle can’t use it:
It does not collect and store any actual emails; it only routes them to other inboxes. Forwarding addresses simply don’t capture the original data Riffle needs.

💡 Uh oh! I use a forwarding address at my company

No problem! Just be sure to invite all of the users who are on those distribution lists and all ITBs will flow into Riffle, as expected.


Connecting Inboxes

If you are an admin user, connect inboxes by following these steps:​

  1. Visit Settings → Company Profile

  2. Press the "Add an Inbox" button in the top-right of the Email Inboxes Connected... section.

  3. Select the OAuth provider for the shared email address (e.g., [email protected]) you want to add.

  4. Follow the OAuth steps as they appear on-screen.

Once connected, any new ITBs sent to that address will appear for your whole team in Riffle’s Project Inbox.


Q: What happens when I connect a new inbox?

A: It links that address to your Riffle workspace so any new project invites sent to it will now appear in your shared Project Inbox. This does not give team members access to each other's personal emails.

Can I remove an email connection that’s no longer used?

A: Yes—but only inbox connections you have added via Company Settings. Press the red "Disconnect Inbox" icon to the right of the email address you'd like to remove.

To remove an individual user's inbox connection, ask the user to disconnect it in their personal profile settings.
