Once you accept an ITB (Invitation to Bid), Riffle creates a "Project Record", which is a single source of truth, designed to help you stay organized, informed, and aligned with your team. Project Records:
Keep your data organized and accessible to everyone on your team.
Eliminate guesswork about which version or file is current.
Stay aligned with real-time updates from your GC or architects with automatic activity tracking.
Builds a living history of every project your company touches & attaches it to your contacts.
Every project starts out the same, with three main sections/tabs.
Overview Tab
The Overview tab is your starting point for every Project Record. It shows all key project information at a glance, like due dates, location, CSI divisions, contacts, and current status. You can also make quick updates here, such as editing the project name, adding notes, adding/removing project team members, or adjusting bidders.
Documents Tab
The Documents tab is your central place to upload and organize all project-related files, such as drawings, specifications, addenda, general correspondence, and even links to outside resources.
Activity Tab
The Activity tab provides a running feed of all updates and messages tied to the project. It automatically pulls in addendums, clarifications, and other messages from the GC related to the original ITB. You don’t need to post or reply here — it’s a live record of external communication so your team can stay informed.
Estimate Builder Tab
Appears after a project is accepted
Once you accept a project/ITB & it becomes an Opportunity, the Estimate tab is where you record your project pricing information. For this release, Riffle lets you enter the data you’ve created elsewhere (such as grand total, profit, costs, etc). This tab keeps all estimate information connected directly to the Project Record for easy access and future collaboration.
⚠️ "Grand Total" drives the pipeline data you see on the Opportunities page so be sure to enter that data for each opportunity!
Why Project Records matter
A Project Record keeps every piece of information about a job in one place, from the moment the ITB arrives to final closeout. Everyone on your team can see the same project details, estimates, documents, and updates. This makes it easier to stay coordinated and confident at every stage of the bid process.
As Riffle continues to evolve, your Project Records will grow into powerful collaboration hubs; helping you move from ITB to closeout with less effort, more clarity, and full team alignment.
