Understanding the RiffleCM Opportunity Pipeline & Workflow (and why it's powerful for bid tracking)

Once you accept an ITB and start working on your estimate, your project enters the Opportunity workflow.


These stages help your team stay organized and show where the project stands in the bidding process.

You can move a project through stages by:

  • Dragging cards in Board View

  • Using the “Mark as…” buttons inside Project Details page(s)

Here’s what each stage means and how it moves.


Accepted

Hooray! This status means you or someone on your team has accepted an ITB.
The project is now an opportunity and hasn’t been worked on yet.

Actions you can take while in Accepted:

  • Start entering estimate details → Riffle automatically moves it to Draft

  • Or promote it manually by dragging it to Draft in Board View

✏️ Draft (In Progress)

You’re actively building or entering the estimate — this is your main working stage.

Actions you can take while in Draft:

  • Continue entering estimate information

  • Move forward by dragging to In Review or Submitted

  • Or use the “Mark as…” buttons inside the Project Record


👀 In Review (optional)

You want someone on your team to look over the estimate before sending it to the GC.

Actions you can take while In Review:

  • Notify a teammate for review (prompt appears automatically)

  • Promote to the next step by dragging to Submitted

  • Or click “Mark as Submitted” when ready

⚠️ Note: admins can turn this stage off if it does not apply to your company's normal workflow.


📤 Submitted

You’ve sent your estimate to the GC.
This stage represents a complete, outbound bid.

Actions you can take while in Submitted:

  • If the GC replies with questions or changes, move to Negotiating

  • If the bid is final, wait for a result

  • When you hear back, mark the project as Won or Lost


💬 Negotiating (optional)

The GC has responded with change requests or clarifications — you’re revising your numbers.

Actions you can take while in Negotiating:

  • Update estimate information

  • Move back to Submitted once changes are sent, OR

  • When you hear back, mark the project as Won or Lost

  • Drag directly between these two column in Board View

⚠️ Note: admins can turn this stage off if it does not apply to your company's normal workflow.


🏆 Won

Your bid was awarded. Congrats! 🎉

(Move here manually once you hear back from the GC)


Lost

The GC did not award your company the project.
(Move here manually once you hear back from the GC)

Projects marked as Lost will remain visible in your board/list view for 30-days. If something changes, this gives you time to update to Won (we're rooting for you!)


⭐ Summary

  • Accepted → Draft happens automatically when you begin to enter estimate details (or you can manually drag from Accepted → Draft in Board View).

  • All other stage changes are manual

  • Optional stages (In Review and Negotiating) can be turned off by admins

  • You can move back and forth between certain stages

  • You decide when to close out the opportunity as Won or Lost
