How a project’s “priority” is determined (and why it’s powerful).

Riffle automatically prioritizes every incoming project to help you quickly identify the best fits for your company.

Where you’ll see “Priority”

You’ll find the Priority badge in the first column of your Project Inbox list.

The default scoring criteria (0–3 scale)

  1. Trade match: Does this project's ITB match what your company does?
    Example: if your company selected Specialties and the project calls for “Toilet Partitions” or “Fire Extinguishers”—the ITB is a match. If there’s no trade match, the project is automatically not prioritized ("unscored").

  2. Project type: Is the project type (like “Restaurant,” “Healthcare,” or “K-12”) one your company prefers? Riffle checks this against your company’s category preferences.

  3. Distance from your office: Is the job site within the radius your company set in its service distance preferences? We use the project address to figure this out automatically.

💡 Tip: Default Scoring works well out of the box. But if you want more precise results, you can unlock Advanced Scoring by tagging your general contractors as Preferred, Good, or Problematic in your Companies list.

⚠️ If your admin adjusts priority preferences or company settings, Riffle won’t "re-score" existing projects. Only future projects will be scored according to any updated settings.


Advanced scoring criteria (0–5 scale)

Once your team adds a relationship status to at least one of your contacts, Riffle treats that as a fourth preference: Partner Relationship.

The three core criteria (Trade, Project Type, Distance) still earn 1-point each. Relationship points stack on top.

These are your most trusted partners whose ITBs you would almost always prioritize. You’ve probably bent over backwards for these guys more than once!

These are reliable partners you work with regularly but may not always choose over others.

Problematic

(-2 pts)

These companies have a history of being difficult to work with. Maybe they repeatedly pay late, communicate poorly, or just don’t fit the mold of your ideal customer.

Empty/Blank

(+0 pts)

No relationship status has been added yet; these partners are treated as neutral, neither adding or subtracting any points.

💡 The Problematic “override”: If the inviting company is tagged as “Problematic”, the project is automatically set to Low regardless of how well the other factors match. This is a heads-up, not a block (you’ll see a red badge on the project so you can make an informed decision).

⚠️ If your team updates (or adds) a relationship status for a company, Riffle won’t "re-score" existing projects with that company. Only future projects will be scored according to any updated settings.


When projects are assigned a priority

  • Projects get their priority automatically when Riffle identifies an ITB and adds it to your shared Project Inbox.

  • Projects entered manually by your team using the project entry form are always marked High—Riffle assumes you'll only be adding project you already know are a good fit, such as a GC calling you or casually mentioning an upcoming project.

  • Projects added when your company first joins RiffleCM: May show as “Pending,” until your offices and preferences are set up while we process scoring for your initial list. Refreshing the page will reveal the calculated priorities.

What Riffle does not do when it comes to priority scores

🚫 Riffle will never hide projects from you. A low score doesn’t remove a project from your inbox. It’s always your call what to pursue.

🚫 Riffle will never guess just to fill gaps. We understand that ITBs are not always the most informative, so if an ITB is missing key bits of information, it won’t be assigned a priority.

🚫 Riffle does not score per-user. Priority is company-wide. Everyone on your team sees the same scores.


Why Riffle’s priority scoring is powerful

  • Saves time: no more digging through every ITB. Your best fits automatically appear at the top of your project list.

  • Improves accuracy: scoring is consistent and objective.

  • Keeps teams aligned: everyone sees the same priority logic, so estimating and sales are always on the same page.

  • You maintain control: Riffle never hides projects from you simply because we think they may be a low-priority or the ITB was missing key information preventing Riffle from prioritizing it.


Keep scoring accurate by regularly reviewing your preferences

Review these settings regularly so Riffle can score new projects correctly:

  • Make sure your office address(es) are up to date.

Settings → Project Preferences

  • Set your primary & (optional) secondary CSI division selection(s) to reflect your real trades.

  • Match your project categories to the types of work you prefer to bid on.

  • Make sure your preferred service distance is accurate & up to date.


Priority FAQs

Q: Can I edit a priority?

A: Yes, any user can change a project's priority. Visit Project Details → press the "edit project info" button in the top-right of the Project Information section. Then, scroll down to the Priority field and update as-needed.

⚠️ Riffle will never automatically change a priority once it's scored or edited by a user.

Q: We updated our preferences—will existing projects rescore?

A: Not automatically. Except for the post-onboarding job (for bulk-scanned items), projects keep the priority set at creation.

Q: What's the difference between Default and Advanced Scoring?

A: Default Scoring uses three factors (trade, project type, distance) on a 3-point scale. Advanced Scoring adds your company relationship statuses as a fourth factor, expanding to a 5-point scale. You unlock Advanced Scoring by tagging partner statuses in your Companies page.
