How to Add and Maintain Materials & Products to Your Catalog

Adding a product

To add an item by hand, press Add product and fill in its details.

A description and a unit are enough to start, and you can add a part number, manufacturer, and category when you have them. All of these details can be updated after the product has been added to your Catalog.


Managing product information

The information you capture about an item is used to help you search the Catalog from several different parts of the app, including when you build estimate or change order proposals, putting together a submittals package, or building out a PO. The details you can manage include:

  • Manufacturer: the brand that makes it. This is optional, so a generic item like "3/4 inch connector" is still a valid product.

  • Manufacturer Description: how the manufacturer describes the item. If the manufacturer updates their description, this should be updated to match the new details.

  • Unit: how you price the item, such as each, linear foot, square foot, hour, or mile.

  • Part number: the manufacturer part number that identifies the item.

  • UPC: the barcode number, if you have it.

  • Category: how you group it in your Catalog.

  • Labor Cost: the labor cost for that product, calculated by the set unit type (e.g. per hour)

  • Freight Cost: the freight cost for the product, calculated by the set unit type (e.g. per hour)

  • MAP Price: the minimum advertised price, if applicable.

A product can carry a per unit labor cost and a per unit freight cost alongside its material cost. These travel with the item, so when you add it to an estimate or change order proposal, the labor and shipping costs for that item are added too. Both are optional.

Vendor pricing is added separately, broken out by vendor.



Setting a public-facing description

You can set a custom description for any item using the public facing description section of the product panel. This description will be using in your proposals and doesn't change if the manufacturer changes their product details.


Setting a product alias

If your team prefers to call an item by an alias rather than it's official name, you can set that here and it'll be used when you search the Catalog. This alias will not show up on any customer-facing materials.


Packaging details

Here you can maintain additional details about how a product is packaged, if applicable.

  • Priced per: the unit the price is quoted in. This will default to the product's base unit unless updated.

  • Sold in: how the supplier packages the product (e.g. a box, a stick, a roll).

  • Units per: how many priced units are in a single package.
