Understanding the RiffleCM WIP Workflow (and why it's powerful for project management)

Project WIP is your home base for managing the work of every project in one place: showing your team who's running it, what's left to do, and how the money is shaping up.

The Basics

Projects will populate in the Project WIP page once they're won and you've indicated you're ready to begin planning.

šŸ’” Tip: If a project came in by phone request or a handshake, you can add it manually straight into Project WIP using the Add project button at the top of the page. Just be sure to add it's full estimate (or at least a grand total) so RiffleCM can accurately track contract value.



WIP Page Overview KPIs

At the top of the WIP page you'll always see four running totals of your active projects:

  • Total WIP Contract Values: the combined contract value of every job you're currently working.

  • Total WIP Project Costs To-Date: the combined costs you've logged against those projects so far.

These KPIs will update automatically as you add & manage projects, so you can see your whole book of active work at a glance.


Managing WIP Project Statuses

Every project moves through a simple set of statuses, from kickoff to final payment.

The statuses are:

  • Prep/Setup: Planning and final approvals are underway; work hasn't started yet.

  • In-progress: The crew is on the project and work is actively happening.

  • Paused: Use this when a project stops for a while, due to a hold from the GC, or anything that pauses the crew. You can resume it at any time.

  • Work Completed: The work is finished; you're waiting on the final balance to be paid.

  • Balance Paid: The project is done and fully paid.

  • Balance Overdue: Use this when the work is done but the final payment is late, so overdue project are easy to spot and chase.

You're not locked into a strict order. A project can move back-and-forth to whatever status best reflects reality.



The Two Views: List and Board

The WIP gives you two ways to look at your projects. Switch between them at the top of the page and use whichever fits the moment.

  • List view: a sortable table, best for scanning a lot of jobs at once, sorting by value or by how long a job has sat in its current status, and selecting several projects to act on together.

  • Board view: a column-per-status board where each job is a card. Best for seeing the flow of work and for moving projects along by dragging cards between columns.


Reading Your WIP List

Each project in the list shows the key facts at a glance, so you rarely need to open the job to know where it stands:

  • Project: the project name, with the trade shown underneath.

  • Status: the current status from the list above.

  • Owner: the Project Manager running the project. If no one's assigned yet, you can assign someone right from this column.

  • Project Health: an at-a-glance indicator of how the project is tracking.

  • Current Task(s): the next thing that needs to get done on the project.

  • Company: the GC or developer you won the project with.

  • Contract: the contract value for the project.

  • Costs TD (To-Date): what you've spent against the project so far.

  • Budget: the budget you're tracking.

The list also shows how long each job has been in its current phase, so projects that have been sitting are easy to catch.


Filtering WIP Projects

Press Open Filters & Views to narrow the list down to exactly what you're after.

You can filter by:

  • Project Status: show only certain statuses (for example, just your In-progress projects).

  • Company Name(s): the GC or developer on the project.

  • Value Range: filter by contract value.

  • Project Phase Owner(s): the Project Manager assigned to the project.

  • Project Contributor(s): other teammates involved.

If your company works across multiple offices, you can also filter by Office View to focus on projects for a specific team/office.

šŸ’” Tip: Turn on "Always apply these filter selections" at the bottom of the panel to make your filters permanent. The next time you open Project WIP, your view will already be set the way you like it.
