What is “Billing Structure”?

The billing structure is the set of ground rules for how you invoice a company, so every project bills the way that company expects.

Every company you work with has its own way of being billed. One wants a detailed pay application, another just wants a summary. One pays in 30 days, another in 60. The Billing Structure is where RiffleCM keeps those rules, so you and your team invoice each company correctly without having to remember the details every time.


Where You Set It

The billing structure lives in two places, and they work together:

  • Your company default: Set it once on a Company Contact's Billing tab, and it becomes the starting point for every project with that company.


  • Per project: Open the Billing tab inside a project (available once the project reaches the Work in Progress phase) and you will see a Billing Structure card. It starts from the company default, and you can adjust it for that one project if this project is different.



What Is In It

The Billing Structure card holds these fields:

  • Billing Method: How you bill the work: % Complete (bill for the share of work finished), Lump Sum (one fixed price), Milestone-based (bill when you hit set milestones), Time & Materials (bill for actual time and materials), or Other/unknown.

  • Lien Waiver Requirements: Whether the company requires a lien waiver, and when: required and conditional on payment, required and unconditional at billing, none, or other.

  • Invoice Format: The format the company expects: Summary (rolled up by category), Detailed (line items from your Schedule of Values), AIA G702/G703 pay application, or Other.

  • Payment terms: How long the company has to pay, for example Net-30.

  • Billing Deadline: The day of the month your invoices are due to this company, from 1 to 31.

  • Customer Billing portal: A link to the online portal where you submit invoices, if the company uses one.


Customizing for a Single Project

To change the billing structure for one project, open its Billing tab, press the pencil (edit) button on the Billing Structure card, make your changes, and press Save Changes. Any field you set differently from the company default gets a small orange badge, so you can see at a glance what has been customized for this project.

Changed your mind? Press the reset button on the card to clear your changes and go back to your company default.


💡 Tip

Set each company's billing structure once, up front. From then on, every new project with that company starts out billing the right way, and you only step in when a project is an exception.
